BEFORE RUNNING PROGRAM
1. YOU MUST HAVE FILEMAKER PRO 2.0 TO RUN THIS PROGRAM
2. Place Billing Fonts in your system folder
3. Place all 6 files in the same folder on your hard disk
START
CONTACTS
Open CONTACTS File (Screen will open in MENUS)
Under Edit Menu click on New Record
Click on DATA ENTRY logo
CONTACT CODE should be the three first letters of the company name
Company Name : John Doe Company
Contact Code: JDC
Fill out rest of information.
For REFERRAL, INDUSTRY, CREDIT & CONTACT TYPE at bottom of screen, click and hold mouse button down in each block for pop up choices.
After all records are entered , close file
EMPLOYEE
Open EMPLOYEE file.
Under Edit Menu click on New Record
Fill in information for each employee
Under NAME (First then last, ie.. John Doe)
After all records are entered , close file
TIME CARD (IF Needed)
Open TIME CARD file.
Under Edit Menu click on New Record
Fill in employee name and hit enter, HOURLY WAGE is automatically filled in along with TOTAL WAGES after HOURS WORKED is filled in.
After all records are entered , close file
BILLING (Main File)
When asked for a password, press enter for limited access.
Open BILLING File (Screen will open in MENUS)
Under Edit Menu click on New Record
Click on DATA ENTRY logo
In COMPANY CODE block put the three letters of the company that you filled in under the CONTACTS file
Ie.. JDC (John Doe Company)
push enter
The company and address are automatically filled out
along with TERMS and REFERRAL.
Fill out rest of information.
Click in TAX RATE box for pop up choices
Click on SHIPMENT ENTRY
Fill out additional information
Click on PAYMENT ENTRY
Fill out INVOICE DATE
Click on INVOICE
All information should automatically be entered so all you have to do is print out the invoice under the top FILE MENU
When Payment is received, enter the payment information under the PAYMENT ENTRY screen
OVERVIEW
Getting Around
There are 14 layouts included in the BILLING file. The MENU layout is your home base. From the MENU layout, you can move to other layouts in this file by clicking a button.
Three of the 14 layouts are for data entry.
ORDER ENTRY should be use to enter all orders that have been generated.
SHIPMENT ENTRY should be used to enter all shipping information (i.e. ship address) when the order is ready to ship.
PAYMENT ENTRY should be used to put the INVOICE DATE upon sending out the invoice and then used when payment is received.
Most of the other layouts in this file are used to generate reports. These can be accessed by using buttons, choosing scripts, or using the layout pop up menu in the upper left corner of the screen
. However, since many reports require that other menu commands be performed in addition to switching layouts(such as a find or sort)simply switching to a report layout using the pop up menu will not necessarily provide you with the results that you expect in preview or in printed output. Scripts and buttons which run scripts, perform all the necessary finding and sorting so that your report will print as expected. You can also perform these preliminary commands on your own using the appropriate commands under the SELECT and FILE menus, before you switch to a report layout and print it.
Customizing
All changes can only be performed in the LAYOUT mode only after the program is registered and the password is given.
Click on items you want to change and then change them.
Remember that if new fields are made, they must be entered under the DEFINE FIELDS layout.
